Staff Terms and Conditions
2026
updated Nov 2025
When agreeing to work for Roam Mountains staff are agreeing to the following conditions:
Overview
All staff to provide up-to-date copies of qualifications, first aid and insurance.
We encourage all staff to have professional association membership (and therefore up-to-date CPD)
All staff to work professionally with our clients, within their experience and qualifications.
It is the responsibility of staff to come up with a plan according to the client/group course aspirations, course content, weather and conditions.
Safety is key; it is staff responsibility to dynamically assess risk throughout the day.
Staff should be in a position to give instruction, reassurance and encouragement to clients/groups. If it is necessary to go out of sight/ear shot of participants staff should clearly communicate to clients/the group beforehand what they need to do.
Staff are required to provide their own personal equipment and commonly rope and climbing racks which are maintained and used to manufacturers guidelines (we might ask for evidence of this).
Inline with HSE requirements staff must carry a suitably stocked first aid kit and sufficient supplies to protect themselves and the clients/group from the elements this could include spare headtorch, suncream, insect repellent, extra clothing and food, water/drink or ability to access potable water, charged mobile phone and a group shelter. An example first aid kit would include:
Large wound dressing
Tape
Blister kit
Rehydration sachets
Aspirin
Tick remover (summer)
Roam Mountains can provide kit for clients including large group shelters, helmets, harnesses and belay devices. Staff need to be available for these to be dropped off or picked up prior to the work.
Staff are to hold business insurance on their vehicle used for work.
Staff are to recommend Roam Mountains for future bookings.
Staff should not promote their business or another business whilst working for Roam Mountains.
If an accident or near-miss occurs it is staff responsibility to communicate this with Roam Mountains and to fill out an accident/near miss form which can be accessed here.
Procedures
Staff are to detail their plan for the day in a written message or voice note before setting out for the day. This should include start and finish point, route and expected time of return.
If the plan changes staff are to update this via a message or voice note at the earliest practicable opportunity.
Staff are to inform Rebecca Coles, or the person nominated by Roam Mountains, when they are off the hill.
Late back procedure - if it is one hour after the expected return time an attempt to contact the instructor by phone will be made. If nothing has been heard and it is after 7pm Mountain Rescue will be called as part of the late back procedure.
Risk assessment Ver 1.7 Nov 2025 can be viewed via this link. Staff should read the risk assessment for the activity they are employed to lead/instruct. Risk assessments are updated regularly. Staff have the responsibility to stay up-to-date.
